Registration Procedures for Program Events

Registration and Payment

• Registrations should be mailed or hand-delivered to the Council Service Center. For your convenience, there is a locked mailbox outside the front door where you may deposit registrations before or after office hours.
• Payment must accompany the registration together with all Cookie Credits. A separate, single check made payable to GSRHC for each event must accompany each registration.
• No registrations will be accepted by phone. There is no on-line registration for programs; however, you may download the generic registration form to be submitted by mail or in person.
• Forms are to be completely filled out, including name of adult attending with the girls. For all Cadette/Senior programs and for all programs that include transportation, you must complete the roster of participants on the back of the registration form as well.
• In order to assure space for girls, the number of adults attending should not exceed the SafetyWise ratio for their level.
• Programs are filled on a first-come, first-served basis (with just a few exceptions - see below**)
• Check the Program Schedule on the website for space availability.

**Exception to first-come, first-served:  A few highly-popular older girl programs may be subject to lottery. Where that is the case, it will be clearly stated on the program flyer and on the web.

Cookie Credits

• Cookie Credits may be used for Girl Scouts of Rolling Hills Council-sponsored events only. No Cookie Credits are accepted for programs run as troop fund-raisers. The program description in the Program Guide or program flyer will indicate if Cookie Credits are not accepted.
• Cookie Credits must accompany registration.
• Cookie Credits may be transferred to sisters.
• Expired Cookie Credits will not be accepted. Please check the expiration date before submitting.

Cancellations, Refunds and Substitutions

• Programs may be cancelled due to insufficient registrations, weather or other conditions. You will be notified by phone if this occurs. In addition, if weather or other conditions cause a cancellation, the web site and a recording on the main phone number will also provide this information.
• Full refunds will automatically be sent for any event cancelled by the council. This is the only circumstance in which a refund will be issued.
• If a girl is unable to attend, a substitute is permitted, providing she is a registered Girl Scout and meets the age requirements of the event. Money must be settled between the parties. Please notify the council office of substitutions prior to the event.

Confirmation

• Confirmation for program events is not routinely provided.
  
  
• If you do not hear from us within 10 days of submitting your registration, consider your troop registered for the program.
  
  
• If you wish to check on your registration, please wait 10 days and then call or e-mail at the Service Center.
  
  
• You will receive a reminder call a day or two before the event.
